1. About this policy
This privacy policy explains how CROSSMARK Australia Pty Ltd (ABN 38 111 971 021) (we, us, our) collects, uses, discloses and stores personal information through the Storetrack platform (Platform).
The Platform includes the Storetrack mobile application (available on iOS and Android) and the Storetrack web-based administration and reporting portal. This policy covers all interfaces through which users interact with the Platform.
We are bound by the Privacy Act 1988 (Cth) (Privacy Act) and the Australian Privacy Principles (APPs). This policy is intended to satisfy our obligations under APP 1.
2. Who this policy applies to
This policy applies to individuals who use the Platform as employees, contractors or representatives of CROSSMARK Australia.
Where the Platform is licensed to a third-party organisation, that organisation is responsible for the personal information of its own users. The data of each licensee is kept separate within the Platform, and CROSSMARK Australia does not access licensee data except as required to provide the service. Licensees should refer to their own organisation’s privacy policy for information about how their personal information is handled.
3. What personal information we collect
Information you provide
When you use the Platform, we may collect:
- your name, email address, phone number and mailing address
- your role, team and work preferences within the Platform
- data you enter while completing tasks, including text entries, form responses and photographs
- any other information you provide through your user profile or by contacting us
Information collected automatically
When you use the Platform, we may automatically collect:
- device information, including your device model, operating system version, and unique device identifiers
- location data from the mobile application, collected only while the application is actively in use (see section 4 below)
- usage data, including how you interact with the Platform, pages visited in the web portal, and features used
4. Location data
The Storetrack mobile application collects your location data while the application is actively in use. Location data is not collected in the background or when the application is closed.
We collect location data to provide core Platform functionality, including routing you to job locations and recording that work has been completed at the correct site. Location data collection is a requirement for use of the mobile application.
You can manage location permissions through your device settings. However, disabling location access will prevent the mobile application from functioning as intended.
5. Why we collect and how we use personal information
We collect and use your personal information for the following purposes:
- to create and manage your account on the Platform
- to assign and manage work tasks, including routing and scheduling
- to enable you to complete and submit work through the Platform, including photographs and form data
- to enable communication between users of the Platform
- to monitor, analyse and improve the performance and functionality of the Platform
- to provide technical support and respond to service requests
- to send you notifications about your account, assigned work or Platform updates
- to compile anonymised and aggregated data for internal analysis
- to comply with our legal obligations
6. Disclosure of personal information
We do not sell, rent or trade your personal information.
We may share your personal information with third-party service providers who assist us in operating the Platform, such as cloud hosting providers, IT support services and analytics tools. Where we do so, we take reasonable steps to ensure those providers handle your information consistently with the APPs.
Your personal information is stored on servers located in Australia.
We may also disclose your personal information where required or authorised by law, for example in response to a court order or to a regulatory authority.
7. Push notifications
The mobile application may send you push notifications related to your account, assigned work or Platform updates. You can manage notification preferences through your device settings.
8. Storage and security
We take reasonable steps to protect personal information from misuse, interference, loss, and from unauthorised access, modification or disclosure. These steps include access controls, encryption and secure server infrastructure.
The mobile application may store data locally on your device (such as photographs taken during tasks) before transmitting it to our servers. This local storage is necessary for the application to function, particularly in areas with limited connectivity.
We will take reasonable steps to destroy or de-identify personal information once it is no longer needed for the purpose for which it was collected.
9. Access and correction
Under the APPs, you have the right to request access to the personal information we hold about you (APP 12) and to request correction of that information if it is inaccurate, out of date, incomplete, irrelevant or misleading (APP 13).
You can update some of your personal information directly through your profile within the Platform. For other requests, contact us using the details in section 11.
We will respond to access and correction requests within a reasonable period. In some circumstances, we may refuse a request, in which case we will provide you with written reasons.
10. Data breach notification
In the event of an eligible data breach that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with Part IIIC of the Privacy Act.
